Luggage and boarding belong in the same brief
Send the number and size of checked bags, cabin bags, strollers and equipment. Include folded dimensions for mobility aids. We assess the complete load with the passenger arrangement, then identify any additional luggage movement needed in your proposal.
An airport arrival with checked bags and a touring day with day bags need separate assessments. Flag hotel-change days, equipment pickups and any guests joining later so the confirmed vehicle plan covers each part of the visit.
One Sprinter or two V-Class vehicles
Plan one Sprinter with RT Tours for a shared route and departure time. Choose two V-Class vehicles when your group splits between pickups, appointments or return times. We build the vehicle plan around those movements.
A Sprinter carries up to 16 passengers; each V-Class carries up to 7, excluding the driver in every vehicle. Include any guide or accompanying staff in the count, then add the bags for each journey. Send the routes and times so we can confirm the available vehicles, driving hours and custom quote for your dates.

Send a flight and hotel for each arriving party. We plan the separate transfers and identify when the full group first travels together.

Plan boarding and walking around your guests
Tell us about walking tolerance, mobility aids, strollers and assistance needed for boarding. Our vehicles have standard passenger seats. For a wheelchair user who transfers to a seat, we check the chair and vehicle fit; a guest who remains seated in a wheelchair needs a different vehicle arrangement discussed before booking.
Legal drop-offs, site access and the walk from the vehicle matter as much as the drive. We coordinate these with your guide and build enough time into the agreed route.
One written plan and a clear planning contact
Your proposal identifies the vehicles, driving and waiting hours, passenger arrangements, pickups and included services. For a larger group, we can add partner-operated vehicles and identify their role in the plan.
When the itinerary changes, your RT Tours contact checks the remaining route, hours and vehicle availability, then confirms revised arrangements and any additional charges. Requested protective services are coordinated through licensed specialist providers, who supply the relevant vehicle or personnel.

Which Mercedes suits a group of 12?
A Sprinter carries up to 16 passengers, excluding the driver. For 12 guests and one licensed guide, the passenger count is 13. We check bags, child seats, equipment and any other accompanying people before confirming the vehicle arrangement.
Do the passenger capacities include the driver or guide?
S-Class, V-Class and Sprinter capacities are 3, 7 and 16 passengers respectively, excluding the driver. A guide, escort or accompanying staff member travelling in the vehicle occupies a passenger seat and counts toward that limit.
When should we choose one Sprinter or two V-Class vehicles?
Choose one Sprinter for up to 16 passengers sharing a route and schedule. Two V-Class vehicles carry up to 7 passengers each and suit groups with separate pickups, meetings or return times. These capacities exclude the drivers. RT Tours checks each party’s luggage and guide seating, then confirms your vehicles and a custom quote.
Can all our airport luggage travel with us?
Send the number and size of suitcases, hand luggage, strollers and equipment. We check the whole group’s luggage against the proposed vehicle and confirm whether a different arrangement or additional luggage movement is needed.
Can you arrange child seats?
Yes. Child seats are provided at no extra charge. Send each child’s age and size, along with the complete passenger and luggage count, so we can confirm the seating plan.
Can you arrange a licensed guide for the group?
Yes. RT Tours arranges licensed guides and coordinates the visits with your driver. If you bring your own guide or educator, send their itinerary so we can connect the pickups and driving with their programme.
Our group arrives over two days. Can you plan the transfers?
Yes. Send each flight’s passengers and destination hotel. We confirm the separate arrival movements and the vehicles needed when everyone begins travelling together.
Can you plan for a wheelchair user?
Tell us whether the guest transfers into a standard vehicle seat or needs to remain seated in the wheelchair, together with the chair’s dimensions and assistance needed. We assess the request before confirming transport; our own vehicles have standard seats and no wheelchair lift.
Can you coordinate protective services?
RT Tours coordinates requested protective services through licensed specialist providers. The selected provider supplies the specialist vehicle or personnel and confirms its own operating requirements. We connect those arrangements with the group’s transport itinerary.
How do changes to the itinerary work?
Your written plan names the coordination contact and change terms. When a stop or meeting moves, we check the route, remaining hours and vehicle availability before confirming revised arrangements or additions.
