Start with the flight details
Send the airline, flight number and arrival date as shown for Israel. If you leave home on one date and land after midnight on the next, write both dates clearly. The booking needs the arrival date. Add your destination address and the name of the person travelling, especially when an assistant, relative or hotel is arranging the car.
Check the terminal for the actual flight through the airline and the Israel Airports Authority before travel. Ben Gurion has terminal-specific operations, so use the latest terminal information and meeting instructions for your flight. Follow the instructions issued for your confirmed booking and report a terminal change through the agreed contact channel.[1]
After landing, allow time to leave the aircraft, complete the airport procedures and reach the driver. Passport control, baggage collection and customs form part of that arrival. Leave the first part of the day flexible, and tell the team about any lunch reservation or fixed visit so it can be planned around the flight.

Airport assistance for passengers who need help moving through the terminal is a separate arrangement. The Israel Airports Authority directs passengers to notify their airline in advance and contact the airline’s ground handler at the terminal. Make the meeting easy to follow
Before boarding, save the written meeting instructions where you can open them without searching through several email threads. Keep the booking name, contact number and final address together. If another person arranged the transfer, ask them to forward the final confirmation with the meeting point and contact for changes.
Choose a contact method you can actually use after landing. A phone with an overseas SIM may not receive calls or messages until roaming or a local connection is active. Tell the coordinator which number will work, including the country code, and share a second contact when appropriate. A relative in Israel can be useful, but the travelling passenger should still have the instructions.
Once you can send a message, use clear milestones: landed; collecting bags; all passengers and bags ready. Follow the confirmed meeting directions. Choose for people and luggage together
A vehicle choice starts with the whole load. Count passengers alongside large suitcases, cabin bags, folded strollers and other bulky items. If part of the party arrives on another flight, say whether the car is collecting everyone together or making separate trips. Those are different movement plans.
RT Tours uses Mercedes-Benz S-Class, V-Class and Sprinter vehicles, with passenger capacities of up to 3, 7 and 16 respectively, excluding the driver. The team checks luggage space, child seats and room for any additional escort together with those passenger numbers when choosing the vehicle.
For children, send ages and the information needed to confirm the appropriate seat arrangement before travel. For mobility needs, describe the practical requirement: help walking, a folding aid, wheelchair dimensions or the ability to transfer into a seat. Confirm how the passenger will enter and sit in the car, and how any equipment will be carried, alongside the airport assistance arrangement.
Have a plan for changes while you are travelling
Keep the coordinator informed if your airline changes the flight number, arrival airport, date or terminal. A delayed departure and a rebooking onto a different flight are different updates. Send the revised flight number, date and terminal so the team can update the arrival plan.
The written booking should explain how flight changes, waiting and additional stops are handled. If a suitcase does not arrive, tell the coordination contact that you are dealing with the baggage desk before you head to the meeting point. If only part of the group is ready, agree whether everyone stays together. Keep changes with the group’s chosen contact so the driver and passengers receive the same instructions.
Pick one person to make changes for the group. This is particularly useful when family members, an executive assistant and a hotel are all involved. A single final message with the updated plan is easier to act on than a chain of partial messages forwarded between three phones.
Plan the arrival at your address
A hotel name is usually more useful with its street address. An apartment needs the building number, entrance details and someone who can provide access. If the booking is for a relative’s home, give the host’s contact and confirm that they expect the arrival on the correct local date.
Include early check-in, late arrival, luggage storage and any stop on the way in your brief to RT Tours.
